What happens to every single receipt

Scan

one QR, and the paper is on file for good

Fetch

supplier, tax and totals from KRA's own record

Review

every entry before it reaches your books

Zero

duplicate CUINs posted from one workspace

Google Cloud Vision reads the paper · KRA's verification page fills the rest · Paystack and M-Pesa handle your subscription

The receipt lifecycle

From a paper receipt to a posted book entry.

Four steps, one controlled path. Every entry is traceable from the scan to the ledger.

01Capture

Scan the eTIMS QR with any phone

Your team points a phone at the receipt. The QR gives up the supplier PIN and the receipt signature; a photo of the paper covers the rest. No signal is fine. Captures queue on the phone and upload the moment one returns.

02Verify

Read back from KRA's own record

Rasmi looks the receipt up on KRA's verification page and fills in what KRA holds: supplier, tax band, VAT, total. If KRA has no record of that receipt, you hear about it here, with the field and the reason named. Nothing is guessed and nothing is quietly dropped.

03Review

Your accountant approves the queue

Clean entries are ready to post. Anything the lookup or the photo could not settle waits in the review queue with the field called out. Your accountant approves it or corrects it. Nothing touches your books without a sign-off.

04Post

It lands in your books, mapped

Approved entries post to QuickBooks Online or Zoho Books as bills, with the vendor, account and tax code already set. Every CUIN is tracked, so the same receipt cannot post twice from the same workspace.

The cost of doing it by hand

Manual compliance fails quietly, then all at once.

5 years

How far back an audit can look

Paper fades. Photos get buried in WhatsApp. The gaps in this month's pile are the ones an auditor finds years from now, long after anyone remembers the purchase.

Per invoice

How the penalties are counted

A mistyped VAT line. A supplier PIN that does not match. The same receipt entered twice. Each one is charged on its own, not rolled up at the end of the year.

2 days

The month-end nobody budgets for

Someone keys hundreds of receipts by hand and catches the errors one at a time. It is the same two days every month, and it is the least valuable work your finance team does.

By hand vs. with Rasmi

The same receipts. A fraction of the work.

Works with your stack

Plugs into the tools you already run on.

Rasmi sits between your eTIMS receipts and your books. It reads the receipt, checks it against KRA, and posts into the accounting tools your team already runs.

Rasmithe engine

One compliance layer between every receipt and your books.

Reads the QR, pulls KRA's own record of the receipt, and prepares a clean, mapped entry for your accountant to approve.

Checked against KRA

Rasmi reads the receipt back from KRA's own verification page, so the details are not typed twice or typed wrong.

Never posts twice

Every CUIN is tracked. The same receipt cannot post twice from one workspace.

Works without signal

Capture anywhere. Records upload the moment you reconnect.

Xero, Sage One and Wave are on the roadmap. Until then, CSV export covers any system that reads a spreadsheet.

Questions.

If you don't find your answer here, email support@rasmi.co.ke

eTIMS is the Kenya Revenue Authority's system for issuing and receiving tax invoices electronically. Invoices that do not go through it are not valid support for an input VAT claim or an expense deduction, and the penalties for missing tax invoices are charged per invoice.

The QR on an eTIMS receipt carries the supplier's PIN, the branch, the receipt signature and a link to KRA's own verification page. It does not carry the amounts. Your phone reads the QR, Rasmi opens that KRA page and reads the supplier, tax band, VAT and total straight from it, and Google Cloud Vision reads the photographed paper as a second source. Anything the two cannot settle goes to your accountant rather than to your books.

Rasmi currently supports QuickBooks Online, Zoho Books, and CSV export. CSV works with any system that accepts spreadsheet imports. Xero, Sage One, and Wave are on the roadmap.

It is held in the accountant review queue with the field and the reason shown. KRA having no record of the receipt is itself reported, not treated as a pass. Nothing is silently dropped and nothing posts without a person approving it.

No. Every CUIN, the unique number on each eTIMS receipt, is tracked. Rasmi refuses a receipt your workspace has already captured, so the same purchase cannot reach your accounting software twice.

Capture does. You can scan and photograph receipts with no data connection, and they queue on the phone. Reading the details back from KRA needs a connection, so that step runs once the captures upload.

The apps are rolling out on iOS and Android. When they land you start on the free tier: thirty receipts a month, no card.

For teams at scale

Running compliance across many branches?

Multi-location retailers, distributors and accounting firms give each branch its own workspace, with the roles and the audit trail a serious operation needs.

  • A separate workspace per branch or entity
  • Append-only audit log, exportable for KRA
  • Guided onboarding for the whole team
  • A named contact when something needs attention
  • Bulk review and bulk post for high volume
  • Roles that keep capture and approval apart
